Exhibitor Information

The following information is for exhibitors joining us for the Tradeshow taking place July 16, 2024, as part of the 2024 ACF National Convention. If you aren’t currently signed up to be an exhibitor, but want to find out how to join, you can find information on how to sign up at the bottom of this page.

Exhibitor Collection Form

  • All exhibitors need to fill out the Exhibitor Collection Form to notify ACF of their needs.
  • This form will go over the following items:
    • Any refrigerator/freezer storage needs
    • If you are cooking/warming at your booth
    • If you need time in the venue kitchen
    • The names of your representatives using your complimentary badges
    • Uploading your COI
    • Any company details you would like added to your app profile
  • If there are things you are still unsure about while filling out the form, please click “not yet sure” and follow up with Stephanie Lewis after once you know so we can take care of your needs.

    • Please note that the facility is not carpeted. It’s recommended that you purchase carpeting for your booth space, but not required.

GES Exhibitor’s Kit

Certificate of Insurance Required

  • A valid Certificate of Insurance (COI) is required for participation in our upcoming tradeshow. This is a mandatory requirement to ensure the safety and protection of all.
  • A COI, or Certificate of Insurance, is an official document issued by your insurance provider. It serves as proof of insurance coverage and typically includes details such as your company information and the names of relevant parties. In the context of your request, the COI would include the following information:

  • We will be requiring a coverage minimum of $2 million.
  • Please submit your COIs on the Exhibitor Collection Form.

Food/Catering Info

  • This year, exhibitors do not need to get approval from the venue for sampling (with the exception of alcohol). You are welcome to bring your own food to prep, and do not need to order through catering.
  • Exhibitors/Sponsors will be able to use one of the onsite kitchens to prepare samples.
  • If you would like kitchen time, please fill that out on the Exhibitor Collection Form and our kitchen manager will reach out closer to the event to arrange your time on the schedule.
  • If you would like to serve alcohol at your booth, please reach out to the venue’s catering manager at brown-sandy@aramark.com for instructions.
  • If you would like to hire a chef, kitchen help or runners to help with your sampling, that can be arranged through the venue’s catering. Please reach out to the venue’s catering manager at brown-sandy@aramark.com.
  • If you would like to order from the catering company, you can find the form under Additional Show Services > Catering on the GES Exhibitor’s Kit. Please submit that order form to brown-sandy@aramark.com.
  • Please note that the catering form incorrectly states “all food and beverages items served within the Phoenix Convention Center and Venues must be prepared and presented by Aventura Catering.” ACF exhibitors have permission from the venue to prepare and serve their own food samples.

Representatives

  • Exhibitor contacts should have received an email titled “2024 ACF NatCon- Exhibitor Information” with information on what comp badges were in your contract. If you aren’t sure or didn’t receive the email, you can reach out to Stephanie Lewis.
  • Please use the Exhibitor Collection Form to fill out the names and email addresses of the representatives who will be using those tickets by June 30th.
  • If your representatives’ names and email addresses are not shared in advance, we cannot guarantee they will be set up onsite for the ACF app lead retrieval feature.
  • If you would like to purchase additional Tradeshow badges, Full Registrations, or other event tickets, please reach out to Stephanie Lewis and she can process your orders.

Additional Shipping Information

  • Please note that if you are shipping something for certain sponsor-related events or product donations, we may request you use a special shipping label to ensure those items end up in the correct place.

Freezer/Refrigerated Storage

  • If you need refrigerator or freezer storage, please fill out your needs on the Exhibitor Collection Form and we will send out specific instructions as soon as they’re available.

Cooking/Warming at Booth

    If you will be cooking/warming at your booth, please fill out the equipment you will be using on the Exhibitor Collection Form so the Fire Marshal can ensure safety protocols are being followed.
  • Please review the Fire Regulations Policy to ensure that the equipment you are using is allowed.

  • ACF has a couple hotel room blocks with special rates. If you would like to stay in one of our room blocks, you can find the information and rates by visiting our webpage linked below.

Hotel & Travel

ACF App

  • Each exhibitor and sponsor will have a profile in the 2024 National Convention section of the app. The app will also have a lead retrieval feature for registered exhibitors.
  • ACF will create a profile using the information submitted to MCI, but if there is anything additional you would like to add to your profile, please fill the App section out on the Exhibitor Collection Form.
  • Please note if you have not submitted your logo or other information to MCI, those sections of your profile will not be filled out until they are submitted.
  • To download the ACF app, you can follow this link or scan the QR Code below.
  • If your representatives already have an ACF login from attending the show last year, membership, or any other reasons, they can use that same login to access the app. If they don’t remember their login, please feel free to reach out to Stephanie Lewis for assistance.
  • Representatives without a past login will receive one after they are registered.
  • More information on how to use the Lead Retrieval Feature will be available closer to the event.
